Warsaw Model United Nations 2026 — Conference Terms and Conditions
01.General Rules
- English is the official language of the Conference. All debate, speeches, written submissions, and official communications must be conducted in English.
- Delegates and Chairpersons are expected to maintain professional, respectful, and diplomatic conduct throughout the entire duration of the Conference.
- All participants must comply with the decisions and rulings of the Secretary-General and the Secretariat. Their decisions are final.
- The Secretariat reserves the right to remove any participant from the Conference for misconduct, at its sole discretion, without refund.
- Participants are responsible for their own behaviour both inside and outside official conference sessions during the event.
- The use of mobile phones or other personal devices is prohibited during formal committee sessions unless explicitly permitted by the Chair.
02.Dress Code
- Western business professional (also referred to as Western business attire) is the required dress code for all formal committee sessions and the Opening/Closing Ceremonies.
- Casual attire may be worn at designated social events unless otherwise specified.
- National dress and traditional attire are permitted at the discretion of the Secretariat when worn as a representation of the delegate's assigned country.
- The Secretariat reserves the right to refuse entry to sessions for participants not adhering to the dress code.
03.Registration & Payment
- Registration is only confirmed upon receipt of full payment of the applicable conference fee.
- Each delegate must register individually through the official mymun.com platform.
- Participants must be at least 16 years of age at the time of the Conference.
- Delegates are responsible for ensuring the accuracy of all information provided during registration.
- The Secretariat reserves the right to reject applications without providing a reason.
- Committee assignments are made at the sole discretion of the Secretariat and are final.
04.Cancellation & Refund Policy
- Registration fees are non-refundable once payment has been processed, except in cases where the Conference is cancelled by the organizers.
- In the event of Conference cancellation by the Secretariat, participants will receive a full refund of all fees paid.
- Participants who withdraw from the Conference after registration are not entitled to a refund under any circumstances.
- The Secretariat is not responsible for any travel, accommodation, or other costs incurred by participants in connection with the Conference.
05.Academic Integrity & Position Papers
- All position papers and written submissions must be the original work of the submitting delegate.
- Plagiarism in any form is strictly prohibited and will result in immediate disqualification from awards.
- Position papers must be submitted via the mymun.com platform by the deadline set by each committee's Chairperson.
- Failure to submit a position paper by the stated deadline will result in ineligibility for any MUN award.
- Delegates must present a Policy Statement at the beginning of their committee session as directed by the Chair.
06.Photography, Media & Consent
- By registering for the Conference, participants consent to being photographed and/or filmed during the event.
- Photos and videos may be used by WawMUN for promotional and archival purposes, including on the WawMUN website and social media channels.
- Participants who do not consent to photography must notify the Secretariat in writing prior to the start of the Conference.
- Participants may not publish, distribute, or share any recordings or photographs taken at the Conference without prior written consent from the Secretariat.
07.Health, Safety & Liability
- Participants are responsible for arranging their own travel and health insurance for the duration of the Conference.
- WawMUN and Stefan Batory High School accept no liability for loss, injury, illness, or damage to personal property sustained during the Conference.
- Participants with medical conditions or dietary requirements should inform the Secretariat prior to the Conference.
- Any participant found to be under the influence of alcohol or illegal substances during the Conference will be immediately removed without refund.
- The Secretariat reserves the right to seek emergency medical assistance for any participant at the participant's own expense.
08.Data Protection (GDPR)
- Personal data collected during registration is processed in accordance with applicable data protection legislation, including the General Data Protection Regulation (GDPR).
- Personal data is collected solely for the purpose of conference administration and will not be shared with third parties without consent, except where required by law.
- Participants have the right to access, correct, or request deletion of their personal data by contacting the Secretariat at wawmun2026@gmail.com.
- By registering, participants consent to the processing of their personal data for the purposes described above.
- Data will be retained for a maximum of two years following the Conference, after which it will be securely deleted.
09.Amendments
- The Secretariat reserves the right to amend these Terms and Conditions at any time. Participants will be notified of any material changes via email.
- Continued participation in the Conference following notification of changes constitutes acceptance of the revised terms.
- In the event of a conflict between these Terms and Conditions and any other documentation, these Terms and Conditions shall prevail.
